What exactly must be traced

Three meanings of “batch” should be separated. A material batch is a group of sheets carrying an approved common identifier, such as delivery, heat, certificate, or internal receipt number. Its composition must be supported by actual labels and documents.

A production batch is the set of operations, nesting plans, and containers through which parts are made from identified material. It may include several drawings, but it must not silently mix materials with different requirements.

A shipping batch is the container, box, or pallet delivered to the customer. It may combine production batches only when the required link to material remains visible in its label or shipping register.

ISO 9001 does not prescribe one label format, but it treats identification and traceability as controlled where product conformity requires them. The suitable system therefore depends on order risk.

The highest level is not always best. Individual marking may be impractical because of size, coating, appearance, process limits, or cost. Select the minimum level that meets the real requirement.

Questions to agree before nesting

Requesting “certificates for the parts” after parts have been mixed is too late. A certificate normally describes material and its inspection document, not every cut part automatically. EN 10204 inspection documents can communicate verification of metallic products, but the required document type and content must be stated in the order.

Before release, agree:

1. accepted grade, thickness, surface, coating, and other material features; 2. required evidence: supplier document, material-batch number, internal record, label photograph, or a combination; 3. the maintained level: order, container, part group, sheet, or individual item; 4. what makes the order mixed: drawings, sheets, thicknesses, grades, or downstream routes; 5. who may combine parts from different sheets or batches; 6. when documents are supplied and reviewed.

“Full traceability” without a defined level is not a workable requirement.

Five links instead of one magic number

Traceability is a chain of control points that may be recorded in an ERP system, table, route card, or other approved system.

1. Material receipt. Preserve the link between each physical sheet or package and its identifier. A missing supplier label must not be reconstructed from memory.

2. Nesting record. Show which material identifier was assigned to each cutting plan. The number need not be written into the drawing file when a controlled record exists.

3. Part removal and container. Place parts directly into the assigned labelled container. Combining identical-looking parts to save space is a common point of failure.

4. Next operation. Carry the identifier through bending, welding, coating, and inspection. Every station need not duplicate all documents, but it must be possible to return from the container to the material record.

5. Shipping. The packing list, label, or agreed document records the traceability level purchased by the customer. Shipping verifies the existing chain; it should not reconstruct it.

The record must let an independent person identify which parts, container, and material document belong together.

Prevent physical mixing

Physical separation is often more important than an elegant register. Once similar parts from different material batches are placed in one unlabelled box, a later spreadsheet cannot restore certainty. Assign the container and identifier before parts are removed from the table.

Suitable methods include separate trays, labelled cassettes, tagged bags, dividers, temporary cards, container labels, and separate digital routes. Small parts can be traced by nesting-plan sub-batch rather than individual marking. Large parts may carry approved marking when it does not damage the surface.

Do not mark a visible face without approval. Ink, labels, or laser marks can damage coating, affect painting, or remain visible. Marking location, text, contrast, depth, and process must be agreed.

What a material document actually proves

A metal document is not a “part passport” unless a preserved chain links it to those parts. It may confirm supplier data for a material batch, but it does not alone prove that a particular part was cut from that sheet. Receipt, nesting, container, transfer, and shipping records create the connection.

Do not promise chemical composition, mechanical properties, standard conformity, or laboratory results that the actual document does not contain. Supply the agreed document and level of evidence. A special certificate requirement must be included before material is purchased.

Who owns each link

Receiving records the material and its document. Planning assigns it to a nesting plan. The operator places parts only in the assigned container and reports lost labels or mixing. Quality or the responsible supervisor verifies the link before the next operation. Shipping checks that documents correspond to the exact containers leaving the site.

One person may perform several roles in a small shop, but every action and record must remain explicit. Two unlabelled similar containers are a nonconformity, not an invitation to choose the most likely one.

What to do when the link is lost

Separate doubtful parts from confirmed ones. Review cutting time, plan, material remnants, route, packing data, and container condition. If evidence is insufficient, declare traceability lost for that group instead of reconstructing it by assumption.

The customer and manufacturer then decide whether the parts may be accepted without the claimed evidence, used elsewhere, reworked, or rejected. Never attach a document from another material batch to the uncertain group.

Common mistakes

  • Requesting traceability only after parts have been mixed.
  • Calling any label a certificate.
  • Confusing material and production batches.
  • Marking every part without technical need.
  • Sending parts to the next operation without an identifier.
  • Inventing a missing material number.

What to send with the drawing

State material and thickness, whether equivalents are allowed, required document type, traceability level, container-separation rules, marking rules, document timing, and the contact for a nonconformity decision. One clear paragraph is more useful than “certificate required.”

The manufacturer should confirm the link it can actually maintain. If stock lacks the required document or individual-part traceability is unavailable, say so before accepting the order.

  • [ ] Material identifier is linked to the nesting plan before cutting.
  • [ ] A labelled container exists before part removal.
  • [ ] The link continues through subsequent operations and shipping.
  • [ ] Marking is approved and does not damage the part.
  • [ ] Missing data is never replaced by assumptions.

What cannot be decided without input data

Without drawing, specification, actual material document, receipt data, and production records, no one can determine the required traceability level, whether specific parts may be mixed, which marking is acceptable, or whether a certificate supports the requested property. This article cannot prove chemical composition, origin of each part, standard conformity, or customer acceptance.

Traceability is not a final label. It is an agreed chain of physical and documentary control designed before nesting. Once parts are mixed without records, the only honest outcome may be to report that the link has been lost.
